Business Assistant – Part Time
Location: Canary Wharf (2 days per week in the office – Thu/Fri)
Contract: 3 months rolling
We are seeking a proactive Part Time Business Assistant within CIB to perform diverse secretarial duties, demanding confidentiality, a strong work ethic, and common-sense judgement. Support needs vary daily based on business priorities, so candidates must bring solid PA experience, advanced skills, and high flexibility to thrive in this demanding role.

What You’ll Do
- Deliver advanced, proactive diary management for senior stakeholders, becoming an integral part of the business by understanding group priorities, expectations, and team mentality with high flexibility and strong teamwork ethic.
- Handle internal and external client-facing interactions, while managing internal/external meetings, conference calls, Zoom, telepresence, Blue Jeans, and providing backup coverage for CIB group assistants during planned or unplanned absences.
- Coordinate complex travel arrangements within policy, including flights, trains, check-ins, VISAs, accommodation, and ground transportation; adeptly manage frequent short-notice changes and prepare comprehensive itineraries.
- Oversee business expenses in partnership with offshore teams, handling reimbursements, personal amounts, and monies owing, while serving as a system functionality expert across Concur, eSource, Travel Portal, iMeet/iMemo, Concierge service, Zoom, OMD, and FTC with accurate data entry.
- Execute general administration duties, including room bookings, filing, photocopying, faxing, stationery ordering, and business cards.
What You Bring
- Proven experience as an Executive Assistant within Banking/Investment Banking
- Expert in professional client handling, relationship building with Bankers and admin groups
- Full competency in diary management with sound judgment on competing priorities
- Proven travel arranger producing accurate itineraries with Plan B/C contingencies
- Expense arena specialist championing policy, processing timely via systems with cost control focus
- Strong team player and network builder partnering with peers, management, and seniors
