Job Title: Recruitment Pipeline Controller (Contract, Part-Time)

Location: Remote (UK-based)

Contract: 4–6 weeks initial (with potential extension)

Working Pattern: 2–3 core working days per week, plus a short daily check-in (30–60 minutes) to maintain pipeline flow

Day Rate: £200–£275/day + performance-based incentive

Overview

We are seeking a hands-on Recruitment Pipeline Controller to bring control, pace, and accountability to a high-volume recruitment pipeline within our ATS (Teamtailor).

This role is focused on ensuring candidates are reviewed, progressed, or rejected quickly and accurately. It is not a traditional recruiter role and does not involve interviewing or hiring decisions.

You will play a key role in maintaining momentum across the pipeline and preventing delays or backlog.

Key Responsibilities

Pipeline Management

• Review and clear incoming applications promptly
• Identify and fast-track strong candidates into the process
• Ensure unsuitable candidates are rejected without delay
• Maintain accurate and up-to-date pipeline stages at all times

Candidate Progression

• Monitor candidates in “Interview Offered” and ensure they progress
• Proactively follow up with candidates who have not booked interviews
• Reduce drop-off between stages

Backlog Control

• Clear any backlog across inbox and review stages
• Ensure no candidates remain inactive without clear next steps

Process Enforcement

• Prompt and follow up with recruiters where action is required
• Ensure consistent use of the ATS and adherence to agreed process
• Maintain pace and accountability across the pipeline

Daily Visibility

• Provide a simple daily snapshot of:
• Inbox volume
• Candidates awaiting action
• Any bottlenecks or delays

Working Pattern

• 2–3 core working days per week (flexible scheduling)
• Short daily check-in (30–60 minutes) to maintain pipeline flow and prevent backlog
• Fully remote role with autonomy over how work is structured across the week

What This Role Is Not

• Not responsible for conducting interviews
• Not responsible for hiring decisions
• Not a senior recruitment or strategy role
• Not purely administrative

Required Experience

• Experience working with an Applicant Tracking System (ATS)
• Strong understanding of recruitment pipelines and candidate flow
• Ability to prioritise and act quickly in a fast-moving environment

Desirable:

• Experience using Teamtailor or similar systems
• Experience in high-volume recruitment environments

• Highly organised and process-driven
• Able to work independently and maintain momentum remotely
• Comfortable prompting and following up where action is needed
• Focused on speed, accuracy, and outcomes

Incentive Structure

In addition to the day rate, a weekly performance-based incentive will be offered based on:

• Reduction in inactive or overdue candidates
• Improvement in candidate progression between stages
• Maintenance of a clean, accurate, and up-to-date pipeline
