The vacant post is a full time position working 37 hours per week. Part-time candidates will be considered but due to service delivery requirements it must be on a job share basis as full-time hours need to be covered.

Job Description

Working as an Executive Officer (EO) across Portsmouth Combined Medical Practice. Portsmouth Combined Medical Practice is a large Primary Healthcare Practice, combining six sites, each delivering Primary Healthcare at; Nelson, Excellent, Sultan, Collingwood, Southwick Park and Thorney Island medical facilities. Nelson is the Permanent Duty Station (PDS) of the post. There is a requirement and expectation for the Practice Office and Administration Manager to deliver to and work across all 6 sites that form the Portsmouth Combined Medical Practice. The Post Holder will work directly to their Line Manager (LM) and Combined Practice Principal Medical Office/Clinical Lead providing dedicated administrative management and support to ensure the smooth running of Primary Healthcare (PHC) delivery.

Person specification

Main details of the role include but are not limited to:

• Manage and supervise all Practice Administrative staff delivering timely Ministry of Defence (MOD) Performance Appraisal ensuring specific, measurable, achievable, relevant, and time-bound (SMART) objectives are agreed in order to achieve service delivery and outputs.
• Deliver and assure appropriate Development Plans are in place in support of personal and professional development of all administrative staff to support changing practices and processes within the Practice and Department. Contribute to both training and development of facility services and staff.
• Orchestrate and Manage Practice staff Leave/absence calendar, authorising and supporting staffs’ absence within direct management chain, ensuring appropriate and safe levels of administrative services are delivered.
• Liaise with Principal Medical Officer (PMO) to monitor General Practitioner (GP) rotas to enable maximum use of available clinical time.
• In addition to staff within direct management chain, engage with Induction for all Practice staff in line with Defence Primary Healthcare (DPHC) and Department policy.
• As HM for Temporary staff fulfil requirement and process timesheets / invoices accurately.

Where business needs allow, some roles may be suitable for a combination of office and working from home as part of a non-contractual hybrid working arrangement. All office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to site capacity and any required workplace adjustments.
