Your Ecommerce Accountant and Your Accountant are a dual-brand accountancy firm built around specialist knowledge and genuinely proactive client service. We serve over 600 clients across the UK, predominantly limited company directors, ecommerce sellers, and growing SMEs.
We have grown quickly and are now restructuring our delivery model to make sure every part of our service is handled by a specialist. Payroll is next.
About the Role
This role exists to take full ownership of everything payroll across the firm. You will run payrolls, handle PAYE registrations, answer client queries, post journals, and make sure every client is compliant and well-served throughout the year. You will be the single point of expertise for payroll, allowing our accountants to focus entirely on accounts and tax.
Key Responsibilities
Payroll Processing (50%)
Run all client payrolls on schedule each month. Manage the workload across pay dates throughout the month so nothing bunches. Process new starters and leavers accurately. Handle changes to pay, benefits, and deductions.
PAYE Reconciliation and Journals (20%)
Post PAYE journals to client accounting software (Xero and QuickBooks Online) after each payroll run. Reconcile PAYE liability accounts to ensure they match HMRC records. Flag and resolve discrepancies.
HMRC Registrations and Submissions (15%)
Set up new PAYE schemes with HMRC for new clients. Handle PAYE deregistrations when clients close their payroll. Submit RTI (Real Time Information) for all payrolls. Manage P60s, P11Ds, and year-end submissions.
Client Queries (10%)
Answer client questions on salary, payroll tax, NI contributions, tax codes, and basic salary structure. You do not need to give complex tax advice, but clients should be able to speak with you directly and get a clear, confident answer on payroll-related matters.
Process and Systems (5%)
Maintain payroll records and documentation. Keep Staffology and client files up to date. Flag process improvements to the operations lead.
Who You Work With
You will report to the Operations Manager and work closely with the delivery team (senior accountants and accountants) who are responsible for each client’s accounts and tax. You will also be the direct point of contact for clients on payroll matters.
