Finance and Administration Assistant

As we continue to grow, we are seeking a highly organised, detail-orientated Finance & Administration Assistant to support the smooth day-to-day running of our finance and administrative operations.
The Role
Reporting to the Finance Manager and Operations Director, you will support a range of finance and administrative responsibilities within a fast-paced professional services environment. This role offers excellent opportunities for development and progression as the business continues to grow.
Key Responsibilities
Finance Support
Processing supplier invoices and staff expenses.
Collating and processing weekly timesheets
Obtaining purchase orders from clients and supplier payment approvals internally
Assisting project cost administration
Ensuring project paperwork is up to date and in order to enable accurate and timely client billing
Providing management with timely and accurate project information and analysis
Support monthly management accounts preparation
Operational support across internal finance tracking systems
Any other assistance the Finance Manager or CFO require
Administration Support
Administration of employee onboarding processes
Administration of clearance processes
General office admin duties (e.g. answering phones, meeting room bookings, greeting visitors, etc.)
Administration of internal people and HR systems, including reporting and tracking
Supporting recruitment processes
Any other assistance the Operations team require
What we’re looking for
This role places greater emphasis on aptitude and attitude than on prior experience. The ideal candidate will have strong organisational skills, excellent attention to detail, an analytical, solution-orientated approach, and the resourcefulness and adaptability needed to manage multiple priorities with professionalism and discretion.
We are looking for someone reliable and diligent who follows through on tasks and helps keep activities on track, managing their time effectively. A proactive mindset is important-the right person will spot what needs doing and take initiative to move things forward. You should be comfortable working carefully through information, documents, and systems with strong attention to detail, alongside a curiosity and willingness to learn.
Strong written and verbal communication skills will enable effective collaboration across the business, and confidence using systems and tools, including excel and accounting systems, will be beneficial. Most importantly, we are looking for someone dependable, energetic, and motivated by helping things run smoothly behind the scenes.
