The role

Reporting to the Group Vehicles Category Manager the Group Vehicle Administrator is responsible for the administration and compliance of the Company’s vehicle fleet, ensuring accurate records, effective maintenance, and adherence to all legal and policy requirements.

The Group Vehicle Administrator supports vehicle acquisition, disposal, documentation, insurance, tax, maintenance records and reporting requirements, acting as the central point of contact for vehicle-related administration.

This permanent role is based upon 40hrs/week between Monday and Friday, working from home though UK travel may occasionally be required.

Key accountabilities

• Maintain the database and related systems for commercial vehicles & company cars.
• Ensure adherence to all current legislation and Company policies and procedures relating to licencing and vehicles.
• Management of vehicle maintenance including the approval and authorisation processes.
• Produce accurate monthly reports and ensure they are correctly distributed across business.
• Administer the fuel database, compile reports and investigate any anomalies.
• Maintain and update toll accounts as required for all Company vehicles.
• Complete driving licence checks and update relevant systems.
• Administer everything related to the acquisition and sale of new & old vehicles across the Group.
• Complete any necessary professional development and/or training in order to perform duties to a standard of excellence.
• Assist with the continuous improvement of departmental practices and processes.
• Undertaking any other duties which may be requested by Management, for which training and/or an explanation has been provided and understood, such as but not limited to; road fund licenses, motoring offences, accidents etc.
• Assist with the maintenance of all department records to ensure systems and records are up to date.

Skills & experience

• Experience in the transport industry desirable but not essential
• Ability to work as part of a team while being comfortable working without supervision
• Honest, trustworthy and takes pride in their work.
• Ability to plan and organise while meeting required targets and deadlines
• Highly organised with strong administrative skills.
• Demonstrable logical and analytical approach, with a good level of numeracy and IT skills.
• Capacity to cope with quickly changing requirements, with the ability to work calmly under pressure when dealing with competing priorities.
• Excellent written and verbal communication skills with an ability to communicate at all levels.
• Possess a logical approach, with excellent attention to detail and a good level of numeracy and IT skills (office 365, Excel, Word)
