Ocean Infinity is seeking a Workforce Planner to join our expanding team based in Southampton.

This role sits within the Integrated Workforce, Asset and Mobilisation Planning function and is responsible for end‑to‑end offshore crewing planning and mobilisation across Service Delivery and Marine operations. The role ensures the effective planning, scheduling and mobilisation of qualified, competent and compliant personnel, delivering the right crew with the right skills to vessels and projects safely, compliantly and on time.

The role combines forward-looking crewing demand forecasting, workforce and contractor planning with hands‑on execution of offshore crew mobilisations. Responsibilities include coordinating travel and logistics, visas, medicals, certification, inductions and onboarding to support offshore, marine and project activities.

Acting as a central crewing coordination point, the role interfaces closely with project planning teams, marine operations, vessel and asset management, suppliers and the offshore workforce. It aligns crewing plans with project schedules, vessel readiness and asset availability, enabling efficient, compliant and seamless delivery of offshore operations and commercial projects.

What You Will Do

Workforce & Resource Planning

• Build project-specific and forward-looking workforce plans (typically 4–12 weeks), aligned to commercial project schedules and fleet plans.
• Allocate Service Delivery and Marine personnel (employees and contractors) across projects and vessels, maintaining rotations, availability, and utilisation.
• Anticipate skill gaps and workforce constraints, ensuring project demands are met with appropriately skilled resources.
• Resolve resourcing conflicts across concurrent projects and vessel operations.

Contractor Management & Onboarding

• Manage contractor engagement end to end, including onboarding, documentation, extensions, and offboarding.
• Coordinate sourcing triggers with relevant stakeholders when workforce gaps are identified.
• Maintain contractor records, rates, and performance information.
• Support continuous improvement of contractor onboarding processes and documentation to align with current operating models and HSEQ requirements.

Mobilisation & Travel Coordination

• Coordinate end-to-end mobilisation activities for Service Delivery and Marine personnel in collaboration with Travel & Logistics, the Mobilisation Team, and Fleet & Asset Planning.
• Book global travel, accommodation, and ground transport in a cost-effective and policy-compliant manner.
• Manage visas, work permits, immigration requirements, medicals, and mobilisation/onboarding documentation.
• Support personnel readiness for mobilisation, ensuring compliance requirements are tracked and surfaced ahead of deployment.
• Manage last-minute changes, cancellations, and disruption contingencies.

Planning, Data & Reporting

• Maintain accurate workforce, travel, and mobilisation data across planning and reporting systems.
• Steward workforce datasets including availability, utilisation, rotations, and demand forecasts.
• Publish regular insights and reporting to support planning decisions and highlight risks.
• Provide updates in weekly planning and coordination meetings, escalating mobilisation, capacity, or timing risks as required.

Stakeholder & Operational Collaboration

• Work closely with Project Managers, Service Delivery Leads, Vessel Managers, Operations Leads, Fleet & Asset Planners, Finance, and Cost Control teams.
• Liaise with travel providers, vendors, and approved partners to maintain effective working relationships and service delivery.
• Provide operational support for high-volume or rapid-turnaround mobilisations.

Continuous Improvement

• Contribute to standardisation of templates, processes, and ways of working across workforce planning and mobilisation.
• Support adoption and improvement of planning tools and integration with HR and ERP systems.
• Own, maintain, and continuously improve crew handover processes and checklists to support operational continuity during crew changes.

Who You Are

• 2-3 years in a crewing or recruitment based role.
• Previous crewing, logistics, offshore, marine, aviation or personnel coordination experience.
• Highly organised with strong attention to detail.
• Able to manage multiple tasks and changing priorities under pressure.
• Proactive and able to work using own initiative.
• Confident dealing with a wide range of people at all levels.
• Strong administrative and computer skills (Excel, Outlook, crewing systems, databases etc.)
• Able to work accurately to deadlines.
• Adaptable to last-minute changes.

Desirable

• Understanding of visa, travel, certification or compliance processes.
• Experience in a fast-paced operational environment.
• Knowledge of rota planning / mobilisation scheduling.

Salary for this position: Up to £45,000 per annum

Salary: The salary varies for this position as we are recruiting in multiple regional locations and job grades. The salary process is based on skills, abilities, and experience required.
