WHOLESALE ASSISTANT

Role overview
The Wholesale Assistant is a critical operational role within the Wholesale department, acting as the front end of the function and underpinning its day‑to‑day effectiveness. With a strong understanding of the TOAST brand and wholesale ways of working, this role is responsible for the accurate management of wholesale systems, departmental data, reporting, and seasonal processes.
Highly systems‑focused and detail‑driven, the role plays a key part in wholesale merchandising, reporting, and calendar management, ensuring the department is aligned to clear timelines, robust processes, and clean, reliable data. Working closely with Wholesale, Product, Merchandising, Finance, and Customer Service teams, the Wholesale Assistant ensures smooth operations, consistent communication, and timely delivery across the wholesale calendar.
The role also provides hands‑on support during key wholesale moments, helping to maintain showroom standards and deliver a considered and professional client experience.
Key Responsibilities
· Wholesale Systems Management
Own and manage wholesale system activity across platforms including WFX, Miro, JOOR, and NetSuite.
Accurately set up and maintain seasonal data, sample orders, and ongoing updates across all systems.
Develop and maintain a strong understanding of seasonal collections to ensure data accuracy and consistency.
Communicate system updates, changes, and key information clearly and in a timely manner to the International Sales team.
· Order Processing & Tracking
Track wholesale orders from JOOR through to NetSuite, ensuring accurate processing and successful system integration.
Work closely with Sales and Aftersales teams to identify, investigate, and resolve discrepancies or issues.
· Sample Management
Order, track, and manage wholesale samples across seasons, including use for showrooms, lookbooks, sales campaigns, pop‑ups, and external shoots.
Coordinate closely with Product Development and Sales teams to meet deadlines and ensure any sample changes are accurately recorded and communicated.
Manage international sample shipments (including USA and Tokyo), overseeing carnet and freight logistics and maintaining accurate tracking.
Track and communicate all sample updates and changes to sales teams, ensuring accurate end products for wholesale customers.
Support wholesale pop‑ups and events with sample coordination and organisation.
· Seasonal Imagery Management
Coordinate and organise seasonal imagery for JOOR set‑up and wholesale use.
Manage external flat‑shot sample shoots where required.
Own seasonal Dropbox organisation, working closely with the shoot and creative teams to ensure imagery is accurate, complete, and delivered on time for each collection launch.
· Swatch Coordination
Partner with Product teams to collect, manage, and maintain physical and digital swatches each season.
Ensure all swatches are accurately named, and correctly matched to product in JOOR.
Prepare and maintain physical swatch packs for showroom and wholesale presentation use.
· Wholesale Calendar & Process Management
Own and manage the seasonal wholesale diary, ensuring all key milestones, deadlines, and launch dates are clearly documented and communicated.
Proactively update timelines, flag risks, and support the department in working to shared seasonal priorities.
· Wholesale Merchandising & Reporting
Set up, run, and distribute wholesale reporting, including:
Sales trackers and performance, Shipping Trackers and performance, Best sellers, Sales mix, Wholesale Range Plan
Update seasonal client list for TOAST website
Support wholesale merchandising by tracking departmental performance, margin, and P&L, and providing accurate numbers to the wider business.
Investigate data anomalies and work with internal teams and business partners to resolve issues and improve systems, reporting, and data accuracy.
· Campaign & Showroom Support
If required, support the wholesale campaigns, assisting with the day‑to‑day upkeep and presentation of the showroom during appointments.
Ensure the showroom is organised, well‑presented, and aligned with TOAST brand standards.
Welcome wholesale clients and support appointments by offering refreshments and ensuring a smooth, professional experience.
Act as an on‑site operational support during the campaign period, helping the wholesale team deliver a well‑run and considered showroom environment.
· General Wholesale Support
Provide day‑to‑day operational and administrative support to the Wholesale department.
Support wider departmental projects and initiatives, contributing to continuous improvement in processes and ways of working.
Required experience/skills
· Highly competent excel user with precise accuracy working with data and reporting.
· Extremely effective in building relationships with key stakeholders.
· Able to work through challenging situations with flexibility and adaptation.
· Highly organised and able to drive and implement process.
· Effective worker with capability to problem solve creatively.
· Experienced in system management and process (WFX, Miro, JOOR, Netsuite)
· A collaborative people person who excels in working cross-functionally.
· Will have superlative listening and briefing skills.
