About the Role

We’re looking for a proactive and dependable Receptionist & Office Administrator to keep our office running smoothly and professionally. You’ll be the first point of contact for staff, visitors, and suppliers, ensuring everything from phone calls to facilities management operates like clockwork. This role suits someone organised, hands-on, and proud to take ownership of both big and small details.

Key Responsibilities

• Manage all incoming calls, emails, and post; direct and distribute appropriately.

• Welcome visitors warmly and coordinate meeting rooms, video calls, and refreshments.

• Maintain the kitchen area, including coffee machines and supplies.

• Order and monitor office supplies, stationery, and cleaning products.

• Oversee cleaners, contractors, and service providers; arrange maintenance or repairs as required.

• Handle general administrative tasks including insurance, paperwork, office equipment, and facilities.

• Manage contract and price negotiations with office vendors, service providers, and the office lease.

• Oversee office safety systems, including scheduling fire alarm and emergency lighting tests.

• Handle complaints promptly and professionally.

• Assist with company newsletter management and maintenance of social media channels.

• Support the team with administrative duties: filing, scanning, copying, binding, and data entry.

• Assist the Director with assigned tasks, follow up on actions, and provide timely updates.

• Organise internal events such as birthdays and team celebrations.

• Maintain the parking area and meeting-room calendar.

• Carry out ad-hoc admin and office support as needed.

What We’re Looking For

• Excellent communication and organisational skills.

• Previous experience in a receptionist, office administration, or facilities role (preferred).

• Confident using Microsoft Office 365 or similar tools.

• Proactive, reliable, and able to prioritise without constant supervision.

• Strong attention to detail and pride in maintaining a professional environment.

• Warm, courteous manner with staff and visitors.

• Comfortable handling multiple responsibilities at once.
