Role:
The Project Support Officer will provide essential administrative and operational support to ensure projects are delivered on time, within scope and budget. The role supports project managers and teams by coordinating activities, maintaining documentation, tracking progress, and ensuring effective communication across stakeholders.
Reports to: Head of Operations
Key Responsibilities:
· Provide day-to-day administrative support to project managers and project teams
· Assist with project planning, scheduling and tracking milestones
· Maintain and update project plans, issue registers and action trackers
· Support the preparation of project reports, status updates
· Ensure project documentation is accurate, up to date and stored correctly
· Support adherence to project frameworks and processes
· Assist with audit, quality assurance and lessons-learned activities
· Organise and coordinate project meetings, workshops and reviews
· Prepare agendas, take and distribute meeting minutes and actions
· Act as a point of contact for internal and external stakeholders as required
· Support purchase order generation, budget tracking, invoice processing and financial reporting
· Assist with resource scheduling and onboarding of project team members
· Identify opportunities to improve project processes and ways of working
· Support change management and project close-down activities
· Support project process development activities, as needed
Required Qualifications & Experience
Essential:
· Experience in an administrative, coordination or project support role
· Strong organisational skills with the ability to manage multiple tasks
· Excellent written and verbal communication skills
· High level of attention to detail and accuracy
· Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
· Ability to work collaboratively and build effective working relationships
Desirable
· Experience working in a project or programme environment
· Knowledge of project management methodologies
· Experience using project management tools or systems (experience with Smartsheet beneficial)
· Relevant qualification or training in project management or business administration
