OverviewWe are looking for a pro‑active administrator to work in the Pharmacy/Medicines Management Team. The role requires excellent interpersonal and organisational skills, and experience in managing meetings, minute‑taking and diary management. Experience with Excel, Word, PowerPoint and Microsoft Teams is essential. Key ResponsibilitiesManage the ordering and distribution of FP10 prescriptions, including setting up new codes and pads. Coordinate prescribing and drug usage data and provide complex reports. Provide administrative support for the Pharmacy/Medicines Management Team, particularly the education, training and safety portfolios. Coordinate high‑level interaction between staff at all levels of the Trust to produce papers and reports for meetings. Coordinate meetings and events, including preparation of agendas and minutes. Maintain effective working relationships at all levels. Liaise with a wide range of departments internal and external to the organisation. Prioritise emails, respond appropriately and alert the Chief Pharmacist to urgent requests. Plan, develop and maintain efficient filing systems (electronic and paperwork) ensuring secure and easy retrieval. Arrange training events, book venues, invite delegates and arrange hospitality. Confirm attendance at events, manage travel and accommodation arrangements for senior staff. Distribute information to the Trust‑wide team and support the maintenance of the Trust prescribers register. Support staff with the process for lost or missing FP10s and alert concerns to the Chief Pharmacist or Deputy. Take minutes, record action points for staff meetings and follow up on action points. Provide administrative support to Trust Medicines Management Groups and other committees, including minute taking, developing meeting schedules, booking venues and hospitality, organising speakers and following up actions. Receive and disseminate information from groups and committees that the Chief Pharmacist and team represent and arrange attendance. Select, retrieve and collate papers and information for meetings, enquiries and other activities of senior staff. Key QualificationsPro‑active administrator with excellent interpersonal and organisational abilities. Experience in meeting management, minute‑taking and diary management. Proficiency with Excel, Word, PowerPoint and Microsoft Teams. Prior experience in pharmacy or medicines management environments is an advantage. Willingness to work fixed‑term, maternity leave cover, and for those with current NHS service, the role will be offered on a secondment basis only (requires prior permission).
