About Us
The rTMS Centre is a leading neuroscience-based clinic specialising in Transcranial Magnetic Stimulation (TMS), an innovative treatment used to support individuals experiencing mental health and neurological challenges.
Alongside the clinic, we are developing NeuroProtocolLab, an emerging neuroscience and AI-focused initiative dedicated to advancing personalised brain stimulation and treatment planning.
We are seeking a highly organised, compassionate, and proactive Patient Liaison & Executive Assistant to become a key member of our growing team.
This role combines patient support, administration, and executive assistance, making it ideal for someone who enjoys working with people while helping a growing healthcare organisation operate efficiently.
The Role
You will be the first point of contact for many of our patients and professional contacts, helping ensure a welcoming, supportive, and professional experience.
You will also work closely with the Clinic Director, assisting with day-to-day operations, scheduling, communications, and project coordination.
Key Responsibilities
Patient Liaison Duties
- Respond to patient enquiries via phone and email
- Guide prospective patients through the consultation and treatment process
- Coordinate appointments and scheduling
- Follow up with patient enquiries and bookings
- Support patient onboarding and communication
- Maintain accurate patient records and administrative systems
- Help ensure an exceptional patient experience throughout their journey
Executive Assistant Duties
- Manage calendars and scheduling
- Coordinate meetings and professional communications
- Assist with project management and task tracking
- Support business development activities
- Organise documents, systems, and workflows
- Assist with content and communication initiatives when required
About You
We are looking for someone who is:
- Friendly, professional, and empathetic
- Highly organised with excellent attention to detail
- Confident communicating with patients and professionals
- Comfortable using digital tools and technology
- Able to work independently and take initiative
- Interested in neuroscience, mental health, healthcare, or innovation
Preferred Experience
Experience in one or more of the following areas would be advantageous:
- Healthcare administration
- Private healthcare clinics
- Psychology or mental health services
- Patient coordination
- Executive assistance
- Customer service or client relationship management
