About the Role:
We’re looking for a proactive and highly organised Office Manager / Administrator to join the Intellego team in London from August/September 2026. This is a hands-on role at the heart of the business — you’ll be the person who keeps things running smoothly, ensuring the office environment is well managed, diaries are coordinated, and day-to-day operations stay on track.
You’ll work closely with colleagues across the team, acting as a central point of coordination for workstreams, scheduling, and office logistics. Key Responsibilities:
Office Management:
• Maintain a well-organised, professional, and welcoming office environment.
• Manage office supplies, equipment, and relationships with building management and external vendors.
• Oversee facilities-related matters including maintenance, health and safety compliance, and general upkeep.
• Coordinate incoming and outgoing post, deliveries, and couriers.
Diary and Schedule Coordination:
• Manage and coordinate diaries across the team, scheduling meetings, calls, and appointments efficiently.
• Anticipate and resolve scheduling conflicts, ensuring key stakeholders are well prepared for engagements.
• Arrange meeting rooms, video conferencing, and any associated logistics.
Workstream Coordination:
• Support the coordination of internal workstreams, helping to track progress, deadlines, and deliverables.
• Prepare agendas, take meeting notes, and follow up on action items to keep projects moving.
• Act as a central point of contact for internal communication and coordination across the team.
Administration:
• Handle general administrative tasks including document management, filing, and data entry.
• Assist with travel arrangements and expense processing as needed.
• Support onboarding of new team members, ensuring they have everything they need from day one.
• Assist with ad hoc projects and tasks as the needs of the business evolve.
About You:
• Proven experience in an office management, administration, or executive assistant role.
• Exceptional organisational skills with strong attention to detail.
• Confident managing multiple diaries and competing priorities in a fast-paced environment.
• A proactive, can-do attitude — you spot what needs doing and get on with it.
• Strong written and verbal communication skills.
• Comfortable with common office tools (e.g. Microsoft Office, Google Workspace, scheduling and project management software).
• Discreet and professional, with the ability to handle sensitive information appropriately.
