Mental Health Act Administrator – Mental Health Records Department Full Time

The Role

No Band 2 roles are eligible for sponsorship under the or routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility. NHS Greater Glasgow and Clyde (NHSGGC) cannot provide a Certificate of Sponsorship (CoS) for roles that do not meet these criteria, and applications requiring sponsorship will not be considered.

The Post Holder Will Work Under Of The Supervision Of The Mental Health Act Administrator To Gain a Wide Knowledge And Experience Of Mental Health Legislation Which Encompasses

• Mental Health (Care & Treatment)(Scotland) Act 2003
• Criminal Procedure (Scotland) Act 1995 as amended by the Mental Health (Care & Treatment)(Scotland Act 2003 Act
• Adults with Incapacity (Scotland) Act 2000

Duration, Location, and Working Pattern:

• Please note this is a GGC wide post and can be moved to any location, however initial base will be Gartnavel Royal Hospital
• The shift pattern for this post is Monday to Wednesday 09:00 to 17:00, Thursday 09:00 to 16:00 and Friday 09:00 to 16:30

Key Responsibilities

• On a daily basis, receive, check and verify detention paperwork from ward staff, GPs and other doctors in relation to patients who have been detained on Emergency or Short Term detentions
• Notify appropriate external agencies (Mental Welfare Commission, Mental Health Tribunal Service, Local Authority) and the patient’s “Named Person” of the patient’s detention
• Record the detention in the appropriate recording system ensuring that the correct dates to notify the clinician of the patient’s review are recorded correctly
• Where an application for Compulsory Treatment Order or Compulsion Order has been made to the Mental Health Tribunal service, the post holder will be alert to a hearing date being set and will alert the Tribunal if date is not forthcoming
• Where patients have been at a Tribunal Hearing, ensure that correct paperwork is received from Tribunal Clerk and sent on to Ward, Mental Health Officer (MHO) and Mental Welfare Commission, record the review date in the system and inform patient and patient’s nearest relative of their rights

Knowledge, training, qualifications and/or experience required to do the job:

There is no specific external training available to staff to learn about the above legislation and the administrative arrangements that are required to support the practice of the legislation. Staff are supported through extensive local training by senior staff to allow them to develop a body of experience in dealing with the different types of detentions.

• Knowledge of Mental Health legislation equivalent to an SVQ Level 3
• Working knowledge of main aspects of Mental Health legislation which will be gained through an appropriate induction and training led by the Health Records Manager or the Supervisor.
• IHRIM Basic Level Certificate of Technical competence
• ECDL or equivalent experience
• Excellent written and verbal communication skills in order to communicate with a range of people.

From 1 April 2026, the Agenda for Change full-time working week will reduce from 37 hours to 36 hours. Part-time working hours will be reduced on a pro-rata basis. A corresponding increase in the hourly rate will apply, ensuring that overall pay remains unchanged.
