As a Fleet Administration Team Leader, you’ll oversee, support, and develop a high-performing fleet administration team within a large and fast-paced fleet sales department. Alongside maintaining hands-on involvement in key administrative processes, you’ll ensure accuracy, compliance, and exceptional service delivery while fostering a positive, collaborative team culture.

Working closely with Fleet Sales Managers, internal departments, and external partners, you’ll play a key role in ensuring fleet operations run smoothly, efficiently, and to the highest standards.

What you’ll do day to day

• Oversee the accurate processing of fleet vehicle orders, documentation, invoices, purchase orders, and finance paperwork, ensuring compliance with, FCA, DVLA, GDPR, and dealership standards
• Coordinate vehicle registrations, deliveries, and logistics, working closely with internal departments and external partners to ensure seamless end-to-end delivery
• Lead the fleet administration team day to day, acting as the first point of contact for queries and escalations while managing workload distribution and priorities
• Provide coaching, onboarding, and ongoing development through 1:1s, performance reviews, and hands-on support
• Monitor vehicle orders from placement through to delivery, proactively identifying and resolving issues or bottlenecks
• Set, track, and maintain KPIs and service levels focused on accuracy, turnaround times, compliance, and customer service
• Handle complex or escalated customer, leasing company, or broker queries with professionalism and care
• Build strong working relationships with Fleet Sales Managers, internal teams, customers, leasing companies, and brokers
• Identify opportunities to improve processes and systems, producing regular performance reporting and representing the administration function in departmental meeting

• Previous experience in fleet administration or automotive administration (preferred)
• Experience supervising, coaching, or supporting a team in a fast-paced environment
• Strong understanding of fleet sales processes, vehicle ordering, and logistics
• Excellent organisational skills with a high level of attention to detail and accuracy
• Confident decision-maker, able to prioritise workloads and perform under pressure
• Strong communication skills, with the ability to engage effectively with customers and stakeholders
• Competent using DMS, CRM, and OEM systems
• Customer-focused mindset with a proactive, solutions-driven approach
• Professional, calm, and positive attitude when handling complex or escalated issues
