As part of our multi-disciplinary team, you will work flexibly and creatively to manage the data admin team in Newham.You will ensure that service users have a safe space to access support and treatment, in a way that best meets their needs. You will also be responsible for managing a team of people in varied roles, including but not limited toClinical AdministratorsData AdministratorsReceptionistsData AnalystsYou will be responsible for ensuring data collected at the service is of a high quality and work with the wider leadership to drive performance and continuous improvement. You will oversee submissions to NDTMS, regulators, commissioners and external partners.Where London Borough of NewhamFull Time Hours 37.5 per week per weekFull Time Salary Range £35,220.59 – £37,184.91 (pro rata for part time hours)Allowance Inner London Weighting £4,133.14 (pro rata for part time hours)Contract permanentFull-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours.Role Specific responsibilitiesLine management of a team of administrative staff which includes supervision, appraisal, performance and sickness management as well as ensuring staff follow CGL and external policies applicable to their roles.To provide advice, information and reports clearly and concisely via the most appropriate channel (e.g. verbally, in writing, telephone, e-mail etc. whilst being sensitive to the needs of the audience e.g. service user, professional).Produce and provide accurate data reporting in line with home office, OHID, commissioner requirements.Share information sensitively within the terms of information sharing protocols with a range of agencies when necessary, in line with Change Grow Live policies and contractual requirements.To be the main port of call for all data relating matters as well as undertake regular and ad hoc requests from Regional Director’s, Service Manager and Commissioning Data.Contribute to the management of an effective appointments system and all elements of office administration, e.g. photocopying, filing, minute taking.To promote the benefits of stopping smoking and the stop smoking services through a variety of mechanisms.Maintain strong governance and monitoring systems, ensuring a consistent, high quality service and ensure professional standards are met and best practice is implemented.To deliver training (as required) to staff and volunteers to ensure administrative requirements and data recording within the service are maintained.Provide additional administration support to ensure the smooth running of Operations across the service when needed.About YouExperience of line management, ability to lead, inspire and develop a teamExperience of carrying out statistical analysis of data/informationIT literacy and experience of using data management systems including proficiency in word processing, data entry, maintaining databases and familiarity with Outlook, Word and ExcelExperience of managing office and administration functionsA professional, empathetic and non-judgmental attitude towards service usersKnowledge and experience of delivering services which evidence high performance and quality standardsThe willingness to keep up-to-date will local and national trends and undertake own training and development as requiredUnderstanding of the harmful effects associated with smokingA clear understanding of data protection, information sharing and confidentiality issuesExcellent minute taking skillsExperience of chair team meetingsKnowledge of Health and Safety requirements and proceduresExperience of the effective use of leading on supervisionWhat We Offer You25 days of annual leave (plus bank holidays ), increasing by one day for each year of service (capped at 30 days).A paid ‘Wellness’ hour each week, access to a ‘Wellness’ hub, and an Employee Assist ProgrammeContributory pension schemeAn array of benefits, including discounts for shopping, cinema, holidays, and moreA friendly and supportive teamOpportunities for training, career development, and progressionA Refer a Friend SchemePlease ensure that when completing your application form and supporting statement, you reflect on the details outlined in the job description.
