Commercial Partnerships Admin Assistant Full Time

Location: Central London

Hybrid working: 3 days in office, 2 days work from home

Purpose of the Role:

To provide essential administrative and operational support to the Commercial Partnerships team, ensuring smooth execution across all markets, partners and internal stakeholders. This includes reporting, JOOR and line sheet management, sample coordination, visual merchandising support, and maintaining accurate commercial data. The role plays a vital part during peak trading period, especially around seasonal markets, and ensures the Commercial team is fully supported across both Men’s and Women’s categories.

Key Responsibilities:

Sales Operations & Market Support

• Support preparation for seasonal markets, including materials, linesheets, JOOR updates, order tools and product grids.
• Assist with showroom set-up, sample organisation and visual merchandising tasks.
• Coordinate market appointments and support scheduling across the team.
• Ensure sales materials are accurate and delivered ahead of key deadlines.

JOOR & Systems Management

• Input orders into JOOR with high accuracy and attention to detail.
• Maintain up-to-date collection data, delivery windows and product details.
• Update linesheets before and after markets to ensure consistency.
• Support order confirmation checks and ensure all partner information is correct.

Reporting & Data

• Prepare weekly and seasonal reporting dashboards, including sell-through and performance summaries.
• Maintain trackers for orders, deliveries, contacts, VM submissions and market activity.
• Assist with Retail Excellence reporting, store data and internal communication packs.
• Support data validation to enhance internal commercial decision-making.

Retail Excellence Support

• Assist in producing weekly Retail Excellence newsletters, VM guidelines, and communication packs.
• Organise, collate and distribute VM photos and store images for internal stakeholders.
• Support wider Retail Excellence initiatives and seasonal retail activity.

Partner Support & Internal Coordination

• Maintain accurate, up-to-date contact lists for all partners globally.
• Share lookbooks, seasonal tools, order confirmations and supporting documents.
• Support the Commercial Partnerships Managers and Coordinators on general administrative activity.
• Act as an internal point of contact for administrative and operational queries.

Administrative Support

• Diary and calendar coordination during peak market periods.
• Prepare presentations and documents as required.
• Maintain organised shared drives and file structures.
• Handle general administrative duties across the Commercial Partnerships team.

Skills & Experience Required:

• Strong administrative experience (luxury or wholesale environment preferred).
• Excellent organisation and attention to detail.
• Ability to work accurately under pressure and meet tight deadlines.
• Experience using Microsoft Office, including etrong Excel skills (pivot tables, formulas) and confidence in PowerPoint.
• Effective communication skills, written and verbal.
• Proactive, solutions-focused and comfortable working in a fast-paced environment.
• Ability to multitask and prioritise effectively.
