An exciting opportunity has arisen for a highly organised and motivated individual to work directly with the Divisional Management Team in the Division of Surgery as Business Support Manager.

Reporting to the Assistant Directorate Manager within the Head and Neck directorate, this post will play a key role in supporting the Divisional Management Team to deliver the business functions within the Division.

The post holder will provide comprehensive business, project and administrative support to ensure the effective coordination, monitoring and delivery of divisional objectives. They will support performance reporting, governance arrangements, business case development and service improvement projects, working collaboratively with clinical and managerial colleagues across the Division.

This is an excellent opportunity for someone who enjoys variety, problem-solving and teamwork, and who is keen to develop experience in operational management and service transformation in a dynamic healthcare environment.

Main duties of the job

Provide high-quality business and project support to the Divisional Management Team.

Coordinate Divisional governance meetings, including preparing agendas, papers and action logs.

Produce reports, performance dashboards and presentations to support divisional decision-making.

Support the development of business cases, service improvement initiatives and workforce or financial plans.

Manage and maintain Divisional documentation, including Standard Operating Procedures and Terms of Reference.

Support procurement and budget management processes, ensuring compliance with Health Board policies.

The post holder will need to demonstrate flexibility, excellent communication skills and the ability to manage competing priorities while maintaining attention to detail.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications And Knowledge

Essential criteria

• Educated to degree level, relevant NVQ’S or equivalent health board experience
• Extensive use and knowledge of health board IT packages and applications, including but not limited to Microsoft Office, Welsh PAS and Clinical Work Station (CWS)
• Evidence of further study and personal development e.g., ECDL Qualification.
• Knowledge of financial processes, including expenses
• Knowledge and understanding of project management processes

Desirable criteria

• Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh
• Knowledge of Single Cancer Pathway (SCP) and targets
• Project management qualification

Experience

Essential criteria

• Experience working in similar NHS admin role
• Extensive experience with performance and data management, including routine reporting, analysis and reporting trends and issues
• Experience in working with complex or sensitive information professionally
• Extensive staff management skills including managing staff through recruitment and HR processes
• Previous experience working to tight deadlines
• Experience handling informal patient complaints and concerns
• Experience training and compiling training material for new staff members and refresher training for existing staff

• Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh
