Main duties of the job

In this vital role, you’ll be the backbone of our Integrated Discharge Service operations, ensuring seamless coordination across all our administrative and business functions.

Your Key Responsibilities Will Include

• Leading and developing our administrative team – Managing dedicated staff members, conducting appraisals, and fostering a culture of excellence and continuous improvement
• Driving quality initiatives – Coordinating quality improvement projects, incidents, complaints and PALS enquiries, and ensuring we learn from every patient interaction
• Managing critical business processes – Overseeing Standard Operating Procedures, ensuring business continuity, and maintaining the high standards our patients deserve
• Performance monitoring and reporting – Analysing discharge data, tracking key metrics, and producing meaningful reports that drive service improvements
• Stakeholder coordination – Working closely with Transfer of Care Hub partners, clinical teams, and external agencies to ensure smooth discharge processes
• Systems management – Overseeing multiple IT platforms including CareFlow and Health Roster to ensure optimal workflow

Key Responsibilities

• Team Leadership and Management – Provide professional leadership to the administrative team, conducting supervision, appraisals, and performance management. Coordinate rotas, manage recruitment and induction processes, and support staff development.
• Business Process Management – Oversee all administrative processes, help create, review and maintain Standard Operating Procedures, implement business continuity plans, and ensure compliance with Trust policies and procedures.
• Quality and Performance Management – Generate and analyse quality and performance reports, monitor key discharge metrics, coordinate data collection, and support service improvement initiatives.
• Complaints, PALS and Incident Coordination – Manage the coordination and investigation of complaints, PALS enquiries, and incidents relating to IDS, ensuring timely responses and comprehensive tracking systems while supporting learning and improvement.
• Transfer of Care Hub Partnership Support – Work with ToCH partners on administrative aspects of discharge planning, support DRCR processes, and maintain effective communication with external stakeholders.
• Systems Management – Oversee multiple IT systems including CareFlow and Health Roster, ensure data quality and integrity, maintain information governance standards, and coordinate system training and support.
• Meeting and Communication Coordination – Provide administrative oversight for key IDS meetings, prepare agendas and minutes, coordinate communication between teams and external partners, and manage internal and external enquiries.
• Financial and Resource Management – Monitor administrative resource utilisation, support budget monitoring activities, coordinate procurement, and ensure cost-effective use of resources.

The role requires degree-level education or equivalent experience, substantial administrative and team management experience, excellent communication skills, and proficiency in IT systems and data analysis.
