To date, we’ve supported the care of over 1.2 million patients, helping them access diagnosis and treatment sooner.As we continue to expand, we’re looking for enthusiastic, organised and self-motivated Administrators to join our Centralised Operations Support function.Purpose of the RoleThe Clinical Operations Administrator will play a key role in delivering high-quality administrative and operational support within the Centralised Operations Support function.This role is responsible for ensuring the accurate, timely, and efficient completion of key administrative processes that support clinical and operational activity across the business.Key Impact of the Role· Support the efficient delivery of clinical insourcing services across NHS and HSE contracts· Enable contracts to reduce local waiting lists throughput through effective administrative coordination· Ensure high quality, accurate data to support operational reporting and client requirements· Contribute to service performance, turnaround times and overall patient experience· Play a key role in maintaining a consistent and reliable insourcing service across multiple sitesKey Responsiblilities· Coordinate, quality check and issue clinic correspondence (including clinic and results letters) in line with agreed turnaround times· Coordinate travel and accommodation bookings for operational requirements ensuring seamless service delivery across multiple sites· Produce and distribute weekly clinician communications in a consistent and professional format· Support outcome tracking and administrative recording, ensuring data is accurately maintained across systems· Maintain and update internal systems, records, and spreadsheets with a high level of accuracy for reporting and performance tracking· Prioritise and manage multiple administrative tasks within agreed timescales· Communicate effectively with internal teams to ensure smooth workflow and resolution of queries· Support continuous improvement by identifying inefficiencies and suggesting process improvements where appropriate· Ensure compliance with all relevant policies, procedures, and data protection requirements Reporting & Performance Management· Support clinic scheduling and workforce coordination where required· Assist with mobilisation of new contracts, including administrative setup and coordination· Monitor and flag delays, data gaps, or risks to service delivery to relevant stakeholders· Support audit and compliance requirements, including data accuracy and record completeness· Stakeholder EngagementWork closely with Account Managers to support operational and client delivery requirementsAct as a coordination point between Centralised Operations Support and Account Management teamsEnsure timely and accurate communication of updates, outcomes, and documentationSupport effective service delivery across NHS Trusts/HSE Hospital Group partnershipsPerformance & KPIsPerformance in this role will be measured against:· Accuracy and quality of administrative outputs (e.g. clinic letters, data entry)· Timeliness of task completion in line with service level expectations· Effectiveness of communication with clinicians and internal teams· Contribution to smooth operational delivery across contract· Proactive identification of issues and continuous improvement opportunitiesPerson SpecificationThe candidate will:· Strong organisational and time management skills· High attention to detail and accuracy· Excellent written and verbal communication skills· Ability to prioritise workload in a fast-paced environment· Competent in Microsoft Office (Word, Excel, Outlook)· Reliable and self-motivated· Professional and proactive approach· Strong team player· Comfortable working in a structured but evolving environment· Willingness to learn and develop within the roleDesirable:·Previous experience in healthcare, clinical administration, or operational support·Experience working in a high volume, time sensitive environment·Familiarity with handling confidential or sensitive dataCareer DevelopmentThis role offers opportunities to progress within the organisation, including:·Senior Operations Coordinator roles·Account Management roles·Operational delivery and mobilisation roles within clinical servicesOngoing training and development will be provided to support career growth within a fast growing healthcare organisationWhat’s on offer √ Up to £28,000 per annum√ Annual performance related bonus of up to £1,000√ 23 days annual leave plus bank holidays√ Opportunities for professional growth and career progression√ Exposure to NHS and HSE healthcare operations√ City Centre location with excellent transport links
