Working alongside our Facilities Supervisor, this role is responsible for managing all facilities operations, ensuring statutory health and safety compliance, and creating a safe, efficient, and well‑maintained working environment for all employees.ResponsibilitiesHealth, Safety & Wellbeing (HS&W)Implement, monitor and review annual HS&W objectives and targetsMonitor, review and update HS&W performance, policies, procedures and arrangementsMaintain HS&W action plans, monitor progress and report changesEnsure compliance and ongoing monitoring of:Fire extinguishers and emergency lightingFire safety arrangements and drillsLegionella monitoring and controlHazardous substances (COSHH)Organise and implement HS&W training, including:DSE assessments and trainingOffice safety trainingFire safety, first aid and specialist trainingMonitor, record and follow up all training completionOrganise DSE reviews and workstation adjustmentsSupervise and manage appointed competent personsMaintain all statutory and internal HS&W records, including:Accidents and near missesRisk assessmentsLegionella monitoringTraining recordsManage contractor compliance, including:Correct licenses, training and qualificationsInsurance and certificationEnsure safe maintenance and inspection of work equipmentEnsure correct HS&W content of staff inductionsFacilities & Workplace ManagementAid in the day‑to‑day operation of the London officeLiaison with building management at Mark Lane, Landlord and lease‑related mattersAssist with overseeing office maintenance, minor works and planned improvementsAssist with coordination of office moves, refurbishments and reconfigurationsManage archiving and records storageOversee access control systems and visitor managementManage first‑aid boxes, equipment and trainingAct as the escalation point for building issues (e.g. cleaning, plumbing, equipment failures)Reception & Front‑of‑House OperationsEnsure reception is fully manned across both floors by providing coverEnsure switchboard operations are always mannedCoordinate visitor access, visitor lists and security proceduresCover other reception duties where needed including managing post, deliveries and courier servicesMeeting Rooms, Catering & Office ServicesManage room bookings and meeting space utilisationCoordinate meeting room setup, preparation and AV requirementsArrange catering and lunch orders for employees and meetingsManage lunch providers and catering suppliersSuppliers & ContractsManage facilities suppliers, contractors and service providersArrange ad-hoc and regular maintenance visitsRaise, process and monitor invoices and accrualsEnsure permit approvals and compliance with building management requirementsProjects & Annual ActivitiesLead or support annual and ad‑hoc projects including:Office moves (e.g. internal relocations, Lloyds move)Support ESG reporting and ESOS obligationsChildren’s Christmas Party and assisting with internal eventsInsurance renewals for travel etc.Maintain and test Business Continuity Plans (BCP) and emergency communicationsAnnual budgeting processEmployee Support & Daily OperationsAct as the first point of contact for day‑to‑day staff facilities requests, including:Coffee machine, MFD, IT‑adjacent equipment issuesCleaning, kitchen and washroom concernsDoor access and visitor access issuesSource marketing materials to business deadlinesSkills, knowledge and experienceEssentialGood IT Skills (Word, Excel and Outlook)Proven experience in Facilities Management within an office environmentStrong working knowledge of UK health and safety legislationExperience managing contractors, suppliers and building managementBudget management and financial control experienceExcellent organisational, communication and stakeholder‑management skillsDesirableCAD drawing expertise for:Office layouts and floor plansDesk and space planningOffice move and compliance planningFacilities, Health & Safety or NEBOSH / IOSH qualificationExperience in ESG reporting or ESOS complianceExperience in customer facing role or reception dutiesKey AttributesHighly organised and detail‑orientedCalm under pressure and proactive problem‑solverHands‑on with strong ownership mindsetAble to manage competing priorities in a fast‑paced environmentFlexible attitudeTeam player with the ability to deal with people at all levelsAbility to work with minimum supervisionClosing Date30 June 2026Our AddressGeneral Reinsurance, London BranchCorn Exchange55 Mark LaneLondon, EC3R 7NE (UK)It is the continuing policy of the Gen Re Group to afford Equal Opportunity to qualified individuals without regard to race, color, sex (including childbirth or related medical conditions), religion, national origin or citizenship, sexual orientation, gender identity, or any characteristic protected by applicable law.
