Highfield Aesthetics is one of Birmingham’s leading medical and aesthetic clinics, located within a prestigious Victorian medical building on Highfield Road, Edgbaston.

For over 20 years, this respected clinic has been home to dental surgeons, private GPs, and medical specialists. Following the successful expansion of our aesthetics division, we are continuing to grow rapidly within a highly professional, medically led environment focused on exceptional patient care, advanced treatments, and premium client experience.

We are now looking for an exceptional Patient Coordinator & Clinic Manager to become a central part of our growing team.

This is not a standard receptionist role. We are looking for someone who is confident, highly organised, commercially aware, and naturally excellent with people — someone who can manage the patient journey, coordinate clinic operations, build strong relationships with clients, and confidently convert enquiries into bookings through outstanding communication skills.

Responsibilities

• Managing front-of-house operations and delivering an exceptional patient experience
• Welcoming and coordinating clients professionally throughout their clinic journey
• Handling phone calls, WhatsApp enquiries, emails, and social media enquiries
• Managing clinic diary scheduling and coordinating practitioners
• Following up new leads and consultations professionally and efficiently
• Building rapport with clients and confidently converting enquiries into bookings
• Supporting smooth day-to-day clinic operations and clinic organisation
• Maintaining patient records and administrative systems accurately
• Assisting with stock management, ordering, and supplier coordination
• Supporting clinic growth through excellent communication and organisation
• Maintaining a polished, luxury, and professional clinic environment
• Assisting management with operational and administrative responsibilities

The Ideal Candidate

• Previous experience in aesthetics, beauty, medical, dental, hospitality, or luxury customer service preferred
• Excellent communication and interpersonal skills
• Naturally confident speaking with clients both in person and over the phone
• Strong organisational and multitasking ability
• Professional appearance and manner suited to a premium medical environment
• Highly motivated, reliable, and proactive
• Strong customer service and sales confidence
• Comfortable handling enquiries and building trust with clients
• Comfortable using booking systems, social media, and digital communication platforms
• Ability to work independently and take initiative within a fast-growing clinic

Education & Experience

• Previous front-of-house, reception, patient coordination, or customer service experience preferred
• Experience within aesthetics, medical, dental, beauty, or luxury hospitality environments is essential
• GCSEs (or equivalent) in English and Maths preferred
• Additional qualifications in business administration, customer service, management, or sales are advantageous but not essential

Job Details

Job Type: Full-time

Starting Salary: From £14 per hour + performance bonuses (negotiable based on experience)

Expected Earnings: From £27,000

Work Location: In person – Highfield Road, Edgbaston, Birmingham
