Responsibilities
– Maintain and manage facilities operations data, including maintenance records, utilities, office data, and vendor performance metrics.
– Develop and maintain trackers, dashboards, and documentation to support reporting, operational transparency, and audit readiness.
– Produce regular KPI and performance reports, identifying trends, performance gaps, and potential operational risks.
– Support budget administration by monitoring Facilities management spend, tracking invoices, purchase orders, accruals, and vendor payments.
– Assist with financial reporting, including variance analysis, cost tracking, and identification of potential cost efficiencies.
– Support day-to-day facilities management operations, including service coordination, issue tracking, maintenance activities, relocations, and workplace initiatives.
– Coordinate with vendors and internal stakeholders to ensure service delivery, monitor SLA performance, and maintain compliance with health, safety, environmental, and regulatory requirements.
Qualifications
Minimum Qualifications
– Minimum one year of experience in Facilities Management, Corporate Real Estate, Workplace Operations, or a related administrative role.
– Experience supporting budget tracking and operational data reporting.
– Strong organisational skills and a high level of attention to detail.
– Ability to manage multiple priorities in a fast-paced environment.
– Strong communication skills, with the ability to collaborate effectively with cross-functional stakeholders.
Preferred Qualifications
– Bachelor’s degree in Facilities Management, Business Administration, or a related field.
– Experience using CAFM systems, financial tracking tools, or reporting dashboards.
– Exposure to vendor coordination or basic project support within facilities or workplace operations.
– Willingness to travel occasionally, if required.
